AI use cases for business

Where AI helps.Start with the problem.

Practical examples of where custom AI helps businesses: reading documents, answering questions from company knowledge, handling enquiries and taking the next step across your systems. Each one starts with a real problem, not the technology.

By sector

Looking for
your sector?

Two sectors have their own pages, with examples written for the paperwork they deal with every day.

Use cases

Knowledge and documents.

When the answers exist but are hard to find, or documents are read and re-keyed by hand.

The problem

Staff wait on a few experienced colleagues for answers buried in policies and procedures.

With custom AI

A knowledge assistant answers from your approved documents, with the source attached.

Knowledge assistants

The problem

Forms, PDFs and emails are read by hand and typed into another system.

With custom AI

Document processing extracts the details, checks them against your rules and routes exceptions to a person.

Custom AI applications

The problem

Long contracts, tenders or technical documents take hours to review against a checklist.

With custom AI

A review tool summarises each document against your checklist and links every point to its source.

Custom AI applications

Use cases

Customer enquiries and service.

When every enquiry needs context before anyone can reply.

The problem

Each enquiry needs someone to check history, availability or policy before replying.

With custom AI

An agent gathers the context from your systems and drafts a reply for approval.

AI agents

The problem

Customers ask the same questions again and again.

With custom AI

A customer-facing assistant answers from your approved information and hands over to a person when needed.

Knowledge assistants

The problem

Requests arrive by email in every format and need sorting before work can start.

With custom AI

Incoming requests are categorised, key details extracted and routed to the right queue.

AI agents

Use cases

Sales and proposals.

When skilled people spend their time assembling rather than selling.

The problem

Proposals and quotes are rebuilt from scratch each time.

With custom AI

First drafts assembled from past work, pricing rules and the client’s requirements, ready for review.

Custom AI applications

The problem

Research before a sales call is manual and inconsistent.

With custom AI

A research agent prepares a briefing from your CRM and approved sources before each meeting.

AI agents

Use cases

Operations and back office.

When people bridge the gaps between systems that don’t talk to each other.

The problem

Data is copied between systems by hand and mistakes creep in.

With custom AI

Records kept in sync, with anything ambiguous flagged for a person rather than guessed.

AI agents

The problem

Chasing missing information and documents takes up part of every week.

With custom AI

Requests and reminders sent on schedule, with escalations drafted for approval and every step logged.

AI agents

The problem

Compliance dates and renewals are tracked in spreadsheets.

With custom AI

Dates extracted from documents, tracked automatically and flagged before they lapse.

Custom AI applications

Use cases

Products and customer experience.

When the product you offer could do more for your customers.

The problem

Customers struggle to find the right product or option.

With custom AI

Guided selection inside your website or app turns what customers describe into valid options.

Custom AI applications

The problem

Customers want to ask for something in their own words, not fill in a long form.

With custom AI

An AI feature that understands the request and completes the permitted steps on their behalf.

AI agents

Use cases

Not sure where to start.

When you can see the potential but not yet the first step.

The problem

You believe AI could help but aren’t sure which problem to tackle first.

With custom AI

An assessment of where AI would make a real difference, with a costed first version.

AI consultancy

The problem

An AI tool or pilot has stalled.

With custom AI

A clear view of why, and whether a different approach, a custom build or no AI at all is the answer.

Illustrative interface and data. Not a client system.

Example 02 · Custom application

A specialist job. A purpose-built tool.

Give a team a document-review workspace that fits its process. AI extracts the relevant details; reviewers resolve exceptions and decide what becomes a record.

Request

Review these supplier documents against our checklist.

  1. Read the uploaded documents
  2. Extract the required information
  3. Compare with the agreed checklist
  4. Present exceptions for a reviewer

Result: Review pack ready. Missing fields highlighted. The reviewer decides what is accepted and published.

Example 03 · Connected AI agent

The right context. Then the next step.

An agent reads an enquiry, checks the relevant customer and product information, and prepares a response inside your existing workflow.

Request

Prepare a useful next step for this customer enquiry.

  1. Read the customer’s request
  2. Retrieve relevant account context
  3. Prepare a response and follow-up
  4. Request approval before taking action

Result: Reply prepared. CRM task ready for approval. Sending and record changes follow the permissions you agree.

Discuss your AI project
Where should a business start with AI?

With a problem, not a technology. Pick a process that is slow, error-prone or dependent on a few people, and an example of the work. A free first call is enough to tell whether AI fits or whether a simpler tool would do. AI consultancy covers the next step.

Are these client results?

No. They are typical problems and approaches, not client results, and every interface on this page is illustrative. Nothing here is a client system.

Do these need AI at all?

Not always. Where fixed rules do the job, plain automation is cheaper and easier to maintain. I recommend the simplest approach that works, and sometimes that is an existing product rather than a custom build.

How would I test one before relying on it?

Build a set of real questions or tasks with the expected answer or source for each, then run the system against them. The free RAG guide explains the method in plain English.

A useful first conversation

Recognise one of these?

Bring the problem, an example of the work and the systems involved. I’ll tell you whether custom AI is the right answer and what a sensible first version would be.
